The following SAMS notes were from HMCM(SW/FMF) Tom Dagostino to PHIBGRU TWO Medical Departments, but has some info that may be of value to anyone who is having SAMS immunization problems.
We have been experiencing several problems obtaining accurate immunization reports while conducting MRIs. Several issues are your data entries, but there are a few problems with SAMS 8.03 too. Here are some training issues that will help:
Immunization Training Issues
Be sure the right agent is picked: "TD, Adult" instead of "Tetanus Toxoid"; "Influenza, Split" for the annual flu vaccine; "Smallpox" instead of "Smallpox, Diluted". "Typhoid ViCPS" for the parenteral dose, "Typhoid, Oral" for the oral dose-stay away from "Typhoid, NOS" if possible.
The Basic Series Complete Indicator ("Complete" field) must be filled in correctly. Stay away from using "U" if at all possible.
In dose sequence, use "A" for annual flu vaccine, "B" for subsequent Typhoid, Yellow Fever, and TD, Adult after the initial boot camp immunizations, and the appropriate number for shots in a series.
Record all shots in a series even if the series is complete (all six Anthrax, both Hep A, Adult, all three Hep B, Adult).
When using the Standard Default List, manufacturer info will not appear for the first shot on the list (usually Anthrax). To work around this, add "Adenovirus, NOS" to the list and manufacturer info for all the standard shots will be displayed.
The Hep A and Hep B reports will always show 0 delinquents on the Immunization Summary Report; however, the Delinquent Immunization Report will show actual delinquent immunizations. There is a number at the bottom of the report that will show the number of delinquent immunizations. This number will have to be pen and inked onto the Immunization Summary Report and hand calculated to give an accurate percentage. Problem has been reported to SPAWAR.
The Smallpox report will show individuals as being delinquent if they do not have a due date in the Next Date Due field. This field needs to be populated prior to converting to SAMS 8.03.01 (since it was not in 8.02). If it is not filled in, the record needs to be edited in SAMS 8.03.01 and will require additional fields to be filled in, along with the results.
DEERS Exports: If users answer "YES" to "Do you want to create queries now?" and then passively import those queries, the existing SAMS immunization data will be overwritten. A clue that this is being done is that the dose and the dose sequence number (BSC #) will show a "0" in that field. If the imported data is inaccurate, their immunization reports will be inaccurate. basically, DO NOT SELECT YES!!!! SELECT "NO"!!!!!
Aloha shipmates,
Dave Weinstien here, HMC(SS/FMF) Ret.
I work as a SAMS analyst out at the SAMSPAC det in Hawaii, if you have questions concerning the HEP A-HEP B combo shot, I do have a go around for the dilemma many have out in the fleet. I am enclosing some info as to that in here....
Bottom line: The last TWINRIX shot recorded must be marked as complete
(even if it's not) in order for the delinquent reports to be accurate.
Here is the scenario, a marine or sailor comes to the command, and in the health record that individual has the TWINRAX/HEP A - HEP B shot documented, and is due for the second combo shot and all that is available on Island is the separate Hep A and Hep B shot.
How do you document the separate shots in conjunction with the combo
shot that has been already given? When I went through the procedure
with the student we both got the same results. If you input the combo
shot (1st dose) and DON'T call the series complete (although it is not complete) it will show up as being delinquent. When you input the 2nd Hep A and the 2nd and 3rd Hep B shots, and call it complete... It will show up as being delinquent. I spoke with Deb Greene and she replicated the same results. She recommended the following "go-around". 1. If you have a situation where the HEP A - Hep B combination shot IS NOT available, and only the separate Hep A and separate Hep B IS available, Mark that the 1st or 2nd dose of the combination shot as complete (although this is not correct), and when you enter the remaining separate HEP A/B's and mark them as complete (that doesn't matter by the way either) and then run the delinquent immunization report.... the individual will not show up as being delinquent.
